WebTranslateIt Software SL ("WebTranslateIt") is a Spanish company situated in Calle De Los Caobos 27, 29016 Málaga. It is registered as a data controller with the AEPD B93598092.

We are providing you with information under the EU GDPR and Spanish data protection law.

We use information about you (your ‘personal data’) for many reasons, which we will talk about below. Information about what to do to if, for example, you want to make a complaint or ask us for your information is at the bottom of this policy.

We have separated our main processes out so that you can read the section most relevant to how you interact with us.

For any personal data in content that you may upload through our services (defined as "Customer Data" in our General Terms and Conditions), WebTranslateIt acts as a data processor on behalf of our customers, and we process such personal data on their behalf. The processing of your content through our services is further described below and in our General Terms and Conditions.

1. General Aspects

1.1 Legal basis and purpose of our processing

We process your data because it is necessary for the fulfilment of a contract with you and/or under legitimate interests to provide the WebTranslateIt Services to our Customers.

1.2. Third party access to your data

WebTranslateIt use service providers as part of providing our services to you. In these cases, we share information with such companies or individuals to enable them to carry out the tasks assigned to them. Such external service providers are carefully selected, and they may only use the data for the purposes under the agreement entered into between WebTranslateIt and the service provider. More information about our service providers is included in Section 3 below.

If it serves investigations of illegal use of our services or is required to pursue legal claims, personal data may be shared with law enforcement agencies, public bodies and third-party victims’ claims based upon court orders or other binding orders from public bodies. Such transfer of data will be made in accordance with applicable laws and regulations.

1.3 Deletion of your data

If you delete your user account, all the data associated with your account will be deleted without undue delay and at the latest within a period of 60 days. However, we have a legal obligation to keep invoices for financial records, which include organisation name, address, country, and TIN and/or VAT number, for a period of 10 years.

1.4 Location of your data

WebTranslateIt uses hosting services provided by Leaseweb, with offices at Luttenbergweg 8, 1101 EC Amsterdam, The Netherlands ("Leaseweb"). Your personal data will be stored on servers within the EEA. Their privacy policy can be found here: https://www.leaseweb.com/legal

WebTranslateIt uses services provided by Amazon Web Services (S3) for hosting user contents, such as images or avatars. The data stored on Amazon S3 servers within the EEA. Their privacy policy can be found here: https://aws.amazon.com/compliance/data-privacy-faq/.

2. Overview of personal data we collect and use

2.1 Log in information

In order to use all services offered by WebTranslateIt, you are required to register (https://webtranslateit.com/en/sign_up) directly on the website. You will be asked to provide your email address and password, which is required to create and administer a user account for you and to enable you to use the service. You also have the option to provide other information upon login, such as a profile picture, time zone and name, however this is not mandatory.

When you create a user account and join a translation team on a project or on a Team, your name will be visible to other project members, and your e-mail address will be visible to managers of that project. The reason your e-mail address is visible is so that managers can contact you should they have any questions or issues collaborating on your project.

If you decide to use services offered by WebTranslateIt that are subject to a charge, you are required to provide the name of your organization (if applicable), the organisation’s address (or yours if not applicable), the organisation VAT number or identification number and payment information.

2.2 Automatic Data Collection

When you access the WebTranslateIt Services via a browser, your browser automatically transmits certain data for technical reasons. The following data is stored separately from any other data you may transmit to us: date and time of access, browser type and version, operating system, URL of the website visited prior to ours, amount of sent data, IP address, and performance numbers such as latencies and caching. This data is stored for purely technical reasons and is never associated with any individual.

When you access the WebTranslateIt services via the Command Line Interface (CLI), the CLI automatically transmits certain data for technical reasons. The CLI allows a user to log in to their WebTranslateIt account and manage their project. All requests to the WebTranslateIt API are therefore authorized requests, which allows the API to authenticate and authorise the request and make decisions based on the logged-in user. The information transmitted in these requests depend on the action performed by the user, but all requests will record: date and time of access, version number of the CLI tool, amount of sent data, IP address, and performance numbers such as latencies and caching. This data is stored for purely technical reasons and is never associated with the user sending the request.

Other information that is explicitly provided by the user to perform operations is, however, logged and associated with the user, to provide audit logs and similar.

2.3 Newsletter

WebTranslateIt offers a newsletter service. In its newsletter, WebTranslateIt informs subscribers about changes to the WebTranslateIt Services. If you choose to sign up, you will have the option to unsubscribe from the newsletter at any time.

3. Operations and support by third parties, cookie providers and other processing

We commit to displaying a list of all current sub-processors in use by WebTranslateIt. A sub-processor includes any third party that we share personally identifiable info with. Here is that list:

4. Processing of data in relation to content published through our services

Users can upload a variety of content, such as language files, texts, images, videos, comments, documents to and via the WebTranslateIt Services, defined as "Customer Data" in our General Terms and Conditions. Typical content uploaded to WebTranslateIt might be language files containing production information. This data may occasionally, but not usually, contain data that may be qualified as personal data. In this context, WebTranslateIt is only a processor of data on behalf of the user and not the data controller.

Except for complying with its legal obligations, WebTranslateIt is not responsible for data content uploaded by the user and is neither interested in this data nor will analsze this data in any way. WebTranslateIt will only process and store this data within the framework of the provision of the service, in the scope described in the General Terms and Conditions and our Agreement with you or the entity with which you are connected to.

Your rights

You have the following rights over your personal data:

  2. To see a copy of your data.
  3. To have any incorrect data corrected
  4. To have data erased, but only if it is no longer needed
  5. To ask for it in a portable form, where possible
  6. To object to us processing your data
  7. To withdraw consent
  8. To not be subject to solely automated decision making that has legal or similarly significant effects.
